What we collect, and what we do not do with it.
The short version
Hear Me Foundation ("we," "us") collects only what we need to process your gift, answer your message, or send you updates you asked for. We do not sell, rent, or trade your personal information. We never see your full card number. You can ask us what we hold about you, correct it, or have it deleted at any time.
What we collect
Information you give us. When you donate, contact us, share a story, or sign up for updates, you may provide your name, email address, mailing address, phone number, the content of your message, and details about your gift (amount, frequency, any designation or dedication).
Information collected automatically. Like most websites, our hosting platform records basic technical information when you visit: IP address, browser type, device type, pages viewed, and the date and time of your visit. See Cookies and analytics.
Information from our payment processor. Our processor sends us confirmation that a payment succeeded, the amount, the date, the last four digits of the card, and your name and email so we can issue a receipt.
How we use it
- To process your gift and send the tax receipt the law requires us to provide.
- To honor your instructions: a program designation, a dedication, or a request for a card to a family member.
- To respond to your messages.
- To send updates you have asked for. Every email includes an unsubscribe link.
- To keep the records a nonprofit is required to keep, and to prepare our annual filings.
- To keep the website working and secure.
We do not use your information to build advertising profiles, and we do not use it for any purpose unrelated to the Foundation's work.
Payments
Payments are handled by a third-party payment processor over an encrypted connection. Your card details are entered directly into the processor's system and are governed by its privacy policy. We do not receive, see, or store full card numbers. TODO: name the processor and link its privacy policy once chosen (for example Stripe).
Who we share it with
We share personal information only with the service providers that help us operate, and only as needed for them to do so:
- Our payment processor, to process gifts.
- Our website and email platform, which hosts this site and sends our messages.
- Our accountant and, where applicable, auditors, for financial reporting.
Each of these is bound to protect your information and to use it only for the services they provide to us. We will also disclose information when the law requires it, or to protect the rights and safety of the Foundation or others.
We do not sell, rent, trade, or share donor or mailing lists with any other organization, for any reason.
Cookies and analytics
Our website platform uses cookies that are necessary for the site to work (for example, remembering a form you started). We may also use analytics to understand which pages are read; analytics data is aggregated and is not used to identify you. You can block cookies in your browser settings; the site will still work, though some features may not.
TODO: list the specific tools in use (GHL tracking, Google Analytics, Meta pixel, etc.) and remove any you do not actually need.
How long we keep it
Donation records are kept for as long as tax and nonprofit accounting rules require, generally seven years. Contact messages are kept as long as needed to resolve them. Email-list information is kept until you unsubscribe or ask us to delete it. Website logs are kept for a short period for security purposes.
Your choices
- Access and correction. Email us and we will tell you what we hold about you and correct anything that is wrong.
- Deletion. We will delete your information on request, except records we are legally required to keep (such as donation records).
- Email. Use the unsubscribe link in any message, or email us.
- Do not contact. Tell us once and we will stop all non-required contact.
We honor these requests regardless of where you live. If your state gives you additional privacy rights, we will honor those too.
Children
This website is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, contact us and we will delete it.
Security
We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted connections, access limited to people who need it, and two-person controls over financial records. No system is perfectly secure; if we ever learn of a breach affecting your information, we will notify you as the law requires.
Changes
If we change this policy, we will post the new version here and update the date at the top. Material changes will be announced to our email list.
